City Fitness (“we”, “our” or “us”) provides this policy, which adheres to applicable Data Protection legislation.

What personal data do we collect?

Your data will be collected when you sign up for a membership via our online EJOIN site, or one of our manual forms.

  • Name

  • Date of birth

  • Contact details (address, email, social media and telephone)

  • Emergency contact information

  • Bank details for direct debit payments

  • contract members only)

We also ask you to disclose any relevant medical conditions or injuries.  It is very important you give us accurate and current information, which keeps us up to date with any changes in your health conditions.

We will collect, store and use the personal data you supply to us in order to carry out activities relevant to a gym membership. Such as, our internal processes, or the processes of our external agencies and suppliers.

Who will have access to your personal data?

Your personal data will only be seen or used by gym staff who have a legitimate business need to access your personal data for the purposes set out in this policy.

Who else might we share your personal data with?

We share your data with Ashbourne Management Services Ltd, who provide us with CRM, direct debit collections, our members app, and other general membership services. 

How do we protect your personal data?

We have put in place measures to protect the security of your data. Details of these measures are available upon request.

How long do we keep your data?

We will keep your data while you remain an active customer, but we’ll also keep it for an additional 7 years after your membership ends. This is required of us for legal and insurance purposes.

How will you contact me?

We may contact you for service-related matters, usually via phone or any other usual communication channels you have with us. We do not currently contact members for marketing purposes, but we reserve the right to do so in the future.  Any future marketing communications will contain information that may be of interest to you, but you reserve the right to ‘opt-out’ from these.
